Taking Over a Shopify Store: The Six Checks Before You Outsource

A practical handover checklist for English-speaking Shopify owners: theme, apps, products, access, speed baseline and integrations, plus what maintenance covers and what to prepare before asking Guangsuan for help.

Taking over a store built by someone else is different from opening a new one. A new store starts empty. An inherited store starts from edits you did not see: a customized theme, extra apps, inconsistent product data and staff access that still belongs to a previous person. This guide explains six areas to check first, how to use site search to inventory old pages, and what technical maintenance covers.

Check 1: Theme changes and update path

Find the theme name and version, and whether Liquid files were edited directly. Direct edits can be overwritten by a theme update. Before any change, keep a usable copy of the current version and check key pages after an update. Guangsuan describes this order as saving an applicable version and backup first, then checking key pages and functions, without treating clicking update as completed delivery.

Check 2: Apps and what each app can touch

List every installed app, what it is used for now, and whether two apps do the same work. Check staff and collaborator permissions, two-step verification and app authorization, plus third-party script review where custom code is present. Guangsuan groups this work as staff and collaborator permissions, two-step verification and app authorization checks, with third-party script review and agreed backup and recovery verification.

For access, use a limited method. Guangsuan states that it prefers Shopify collaborator access or on-demand authorization and requests only the permissions the work requires. Do not send owner passwords, payment information or customer order data in a chat message.

Check 3: Product, variant and multilingual data

Check titles, SKUs, variant structure, categories, metafields, images and FAQs for one naming rule. If the store sells in more than one market, check whether each language version has complete product facts and who confirms them. A provider can process bulk import, variants, categories and data configuration, but product facts and translations still need confirmation on the merchant side.

Check 4: Accounts, ownership and backups

Confirm who owns the store email, domain, apps and payment provider, and remove access that is no longer needed. Confirm what is backed up, how often, and how a restore is verified. Platform-level protection is provided by Shopify, and Guangsuan does not promise that a store will never be attacked, that fraud will never happen or that an account will never be restricted. The maintenance work covers merchant-side configuration, not platform hosting.

Check 5: Speed and technical SEO baseline

Record how key pages behave on mobile before you change anything, including first-screen images, script and app load. On the search side, check canonical links, redirects, structured data and multilingual settings, and check important URLs, content, tracking and conversion paths before and after a change. What can be delivered in a specific job depends on the Shopify plan, theme structure, app capabilities and available interfaces.

No fixed speed score, ranking or sales figure should be treated as an unconditional promise. Technical repairs and business results are assessed separately, with optimization items, test environment and acceptance method stated for each job.

Check 6: External systems and failure handling

If orders, stock or customer records move to an ERP, CRM, inventory or logistics system, write down what data moves, what triggers it, and what happens when a transfer fails. New store builds, platform migrations and large rebuilds are quoted separately rather than as unlimited monthly work.

How to use site search to inventory old URLs

A site query can help you list a sample of indexed pages from one store, for example to spot an old product address, a collection address and a language version. It is not a complete inventory and not a measure of total market demand. Cross-check the result against internal links, sitemap files and canonical tags, keeping the same URL in all three places.

Google's ecommerce URL guidance explains why this matters: poor URL structure can cause content to be missed when Googlebot treats two URLs as the same and discards one as a duplicate, or can cause the same content to be retrieved repeatedly with no benefit. The same guidance notes that on an ecommerce platform much of the URL structure is likely already handled for you, so the remaining check must run against the live output of your theme. You can read the source in Google's guidance on designing a URL structure for ecommerce sites.

Hypothetical teaching example: suppose one product opens at both /products/field-jacket and /collections/outdoor/field-jacket. Open both addresses and read where each page's canonical points. If both pages declare themselves as the full version, treat that as a duplicate-path condition to resolve by letting the collection-prefixed path converge on the product address, rather than editing titles first.

What Shopify maintenance covers

Guangsuan publishes six groups: day-to-day maintenance and troubleshooting, theme customization and version updates, speed optimization and technical SEO, account and app security, product data and multilingual upkeep, and custom development with system integration. Day-to-day work includes page misalignment, mobile display problems, menu and button issues, and locating conflicts between cart, add-to-cart behavior and apps, plus takeover of an existing store and routine adjustments.

There are three ways to buy the work. A single technical task fits one clear modification, error or configuration request and is quoted per task. A monthly trial plan is listed at CNY 3980 per store per month, including 6 hours of technical work. A custom development project fits theme rebuilds, new features, migrations or integrations and is quoted per project with staged acceptance. The technical service can be bought on its own, without being tied to a promotion package. For scope, pricing and delivery steps as published, see Guangsuan Shopify technical maintenance and custom development.

What to prepare before you ask

Prepare the store address, the problem or feature you want handled, and the timing you aim for. Add error screenshots, reproduction steps, the theme name and the app list if you have them. Also state which business path must keep working, such as cart, checkout, payment callbacks and order emails, so scope is written around that path.

FAQ

Should I redesign first? No. Complete the inventory first, then decide whether to repair, clean up or rebuild. Where legacy problems are heavy, takeover and cleanup cost is explained first rather than counted as ordinary monthly maintenance.

Does Shopify already include this work? Shopify runs and updates the platform, but a customized theme, third-party apps, content configuration and external systems may still need merchant-side adjustment. Maintenance described here targets that merchant-side work rather than reselling hosting the platform already provides.

Can I buy only technical help? Yes. The technical service can be bought on its own, without a promotion package attached.
